Messaging and Acceptable Use Policy

1. Purpose and scope

This policy applies to private messages, replies, attachments, profile communications and other user-to-user communications sent through PilotBooker. It applies to pilots, providers, representatives and anyone using an account. PilotBooker may impose additional rules for particular features.

2. Platform role

PilotBooker provides communication technology only. PilotBooker is not a party to training contracts, does not act as an aviation authority, employer, agent, broker, insurer, instructor or payment custodian, and does not guarantee the identity, authority, qualifications, availability, pricing, quality, safety, legality or performance of any user or provider.

Users are responsible for independent due diligence, regulatory checks, contractual terms, payments, travel, visas, medical eligibility, licensing requirements and any off-platform arrangement. A message, reply or introduction does not create a booking, contract, agency relationship, endorsement or guarantee by PilotBooker.

3. Acceptable use

Messages must relate to legitimate aviation training, directory support, account administration or another purpose expressly permitted by PilotBooker. Users must communicate honestly, professionally and lawfully and must have authority to share any information or document submitted.

• Use accurate account and listing information.
• Respect confidentiality and intellectual-property rights.
• Share personal contact details only when you choose to do so and understand the risks.
• Use the report tools for suspected fraud, harassment, impersonation, unsafe conduct or policy breaches.

4. Prohibited conduct

Users must not send unlawful, fraudulent, misleading, threatening, harassing, discriminatory, defamatory, obscene, exploitative, malicious or unsolicited commercial content. Prohibited activity also includes impersonation, credential theft, phishing, malware, scraping, mass messaging, evading blocks, interfering with security, requesting unnecessary sensitive data, publishing another person’s private information or using PilotBooker to facilitate an unlawful transaction.

Do not use messaging for emergencies, operational safety reporting, immediate medical or security assistance, or communications that must be made to an aviation authority. Contact the appropriate emergency service, provider, authority, employer or law-enforcement body directly.

5. Privacy, records and monitoring

Messages may be stored, processed, backed up, scanned by automated security controls and reviewed by authorised personnel where reasonably necessary and lawfully permitted to operate the service, investigate reports, prevent abuse, enforce agreements, protect users, comply with legal duties, or establish, exercise or defend legal claims.

PilotBooker has no general duty to monitor every message and does not guarantee that harmful, inaccurate, delayed, lost or unauthorised content will be detected. Users should not send passwords, full payment-card data, passports, medical records or other highly sensitive information through ordinary messaging.

6. Enforcement and cooperation

PilotBooker may, without creating a duty to do so, restrict delivery, preserve evidence, remove content, suspend features, limit accounts, terminate access, contact affected users or refer matters to competent authorities where PilotBooker reasonably believes this is necessary for safety, security, legal compliance, investigation or enforcement. PilotBooker may decline to explain security-sensitive enforcement details.

7. Availability and liability

Messaging is provided on an “as available” basis to the fullest extent permitted by applicable law. Delivery, notification, retention, confidentiality and uninterrupted access are not guaranteed. Users remain responsible for keeping independent records of important agreements and for confirming time-sensitive information directly with the other party.

To the fullest extent permitted by applicable law, PilotBooker is not responsible for losses arising from user content, missed messages, reliance on communications, off-platform dealings, provider or pilot conduct, or unauthorised sharing by another user. Mandatory legal rights and liabilities remain unaffected.

8. Changes and contact

PilotBooker may update this policy for legal, security, operational or feature changes. The version published on the Platform applies from its stated effective date, subject to any notice required by law. Questions or reports can be submitted through the contact page or the report form.
